Designed a role-based procurement orchestration portal, consolidating a 13-step process across SAP Ariba, SAP BTP and ServiceNow into a single entry point. Mapped the existing workflow end to end, translating a fixed, regulation-driven process into a unified UX. Conducted discovery with about 10 users and project leads, validated the first budget-owner experience and secured stakeholder buy-in for international rollout. In development.
Publishing a contract at a large banking group takes 13 steps across three separate systems: SAP Ariba, SAP BTP and ServiceNow. Which tool a person had to use depended on their role and on the stage the request had reached, so the workflow forced users to move between platforms simply to keep going.
Neither budget owners nor buyers had visibility into where a contract stood. To find out which contracts were still in progress and which steps were missing, they logged into the various platforms one by one or asked colleagues.
The SAP team working with the client identified this as a problem worth solving. I joined during the proposal phase, before formal engagement, to define what a solution could look like.
The analysis phase lasted one month and enabled us to map out the end-to-end process: all 13 stages, who was responsible for each one, and on which platform they were carried out. I worked with around 10 users and the project managers, and the process map provided everyone with the first comprehensive overview of a process that, until then, had only existed in a fragmented form across three systems and various teams.
The analysis confirmed that the problem lay in the handover points between these systems and in the fact that the process status was always visible only in a fragmented manner.
This new perspective defined the constraints for everything that followed. The process itself is fixed: it is dictated by legislation and cannot be shortened or reorganised. Therefore, the portal would not replace any of the three systems but would sit above them, gathering their data and guiding the user step by step through the process.
